1. About us and these terms
DigitalHaalKhata is a trade name of MD Ansarul Mandal (Proprietor), trading as Digital Haal khata, GSTIN 06GPSPM2847N1ZY, Udyam UDYAM-HR-03-0163421, registered address C/158, Gali No. 3, Panchsheel Colony Part 2, Amar Nagar, Faridabad, Haryana 121003, India ("we", "us"). These terms apply when you use our website and the DigitalHaalKhata software (the "Service"). By creating an account or using the Service you agree to them.
2. Who can use the Service
- You must be 18 or older and use the Service for your business in India.
- If you sign up for a shop or company, you confirm that you are allowed to act for it.
3. Your account
- Give correct details (name, shop name, mobile number) and keep them up to date.
- Keep your password safe. You are responsible for everything done from your account, including by staff logins you create.
- Tell us at once if you think someone else has used your account.
4. Free trial, plans and payment
- New accounts get a 7-day free trial with all features. No card is needed.
- After the trial, the plan is ₹199 per month plus 18% GST (₹234.82). You can pay for 1 to 36 months in advance.
- Payments are made online through our payment partner Razorpay. Plans are prepaid and do not renew automatically.
- A GST tax invoice is issued for every payment and is available in your account.
- We may change prices for future plans. We will tell you at least 30 days before; the plan you have already paid for is not affected.
- Refunds are covered by our Refund & Cancellation Policy.
5. Your data and your customers' data
- The records you enter (customers, vendors, sales, purchases, stock, staff, photos) belong to you.
- When you store your customers' or staff's personal details, you decide why and how they are used. You must have their permission where the law requires it. We process this data only to run the Service for you, as explained in our Privacy Policy.
- You can ask us for a copy of your data or to delete it at any time.
6. WhatsApp reminders and messages
Payment reminders open in your own WhatsApp and are sent by you. Send messages only to people who know you and owe you money, be polite, and follow WhatsApp's terms. Do not use the Service to send spam, threats or harassment.
7. EMI tracking and online payments
- The EMI feature is a record-keeping tool. You set the instalment terms with your customer. DigitalHaalKhata is software only. It is not a bank, NBFC, lender or payment aggregator, it does not lend money or give credit, and it is not a party to any sale or instalment arrangement between you and your customer.
- Online payment features, where they are available, are processed by Razorpay (our payment partner) under its own terms and the rules of the Reserve Bank of India. You and your customer must accept those terms.
- You are responsible for the instalment terms you agree with your customer, for any consent a customer must give for recurring payments, and for collecting dues fairly and lawfully.
- We do not guarantee that any customer will pay.
8. Reports, GST and accounting tools
Reports such as Profit & Loss, Balance Sheet, GST Summary, GSTR-1 export and Tally export are worked out from what you enter. They help you and your CA, but they are not tax, legal or accounting advice. Please read our Disclaimer.
9. Things you must not do
- Break the law, cheat anyone or record false amounts on purpose.
- Try to access another shop's data, break our security, or overload the Service.
- Copy, resell or rent the Service without our written permission.
10. Availability and changes
We work to keep the Service running all the time, but it may sometimes be unavailable because of maintenance, internet or hosting problems. We keep improving the Service and may add, change or remove features. We take reasonable care of your data; please also download important reports from time to time.
11. Suspending or closing an account
- You can stop using the Service at any time. Write to us if you want your account and data deleted.
- We may suspend an account that breaks these terms or the law, after telling you where possible.
- After an account is closed we keep its data for 30 days (so it can be restored if closed by mistake) and then delete it, except records we must keep by law, such as GST invoices.
12. Our liability
To the extent the law allows, we are not responsible for indirect losses (such as lost profit or lost business), or for mistakes in data you entered. Our total liability for any claim is limited to the fees you paid us in the 3 months before the claim.
13. Our name and software
The DigitalHaalKhata name, logo, software and website belong to us. These terms do not give you any ownership of them.
14. Law and courts
These terms follow the laws of India. Courts at Faridabad, Haryana have jurisdiction.
15. Changes to these terms
We may update these terms. The date at the top shows the latest version. For important changes we will tell you in the app or by message.
