1. Terms & Conditions

These Terms & Conditions ("Terms") govern your use of DigitalHaalKhata (the "Service"), a shop and business management platform provided to small and medium businesses in India. By creating an account or using the Service, you agree to these Terms.

1.1 The Service

DigitalHaalKhata provides tools to record and manage customer accounts, vendor purchases, staff attendance and payroll, and business expenses. Certain features, including automated payment collection via Autopay/eNACH, depend on a connected third-party payment partner and may not be available in all plans or at all times.

1.2 Accounts

• You must provide accurate information when creating an account.
• You are responsible for keeping your login credentials confidential.
• You are responsible for the accuracy of the customer, vendor, staff and financial data you enter into the Service.

1.3 Subscription & Billing

• Paid plans are billed in advance on a recurring monthly (or otherwise agreed) basis.
• Free trials, where offered, convert to a paid subscription unless cancelled before the trial ends.
• Prices are shown in Indian Rupees (₹) and may be updated with prior notice.

1.4 Automated Payment Collection (Autopay/eNACH)

Where enabled, this feature allows a shop owner's customer to authorise recurring or one-time debits from their bank account via the NACH (National Automated Clearing House) system, processed through a licensed payment aggregator. DigitalHaalKhata does not hold or move funds directly — all money movement is handled by our regulated payment partner under their own terms and RBI guidelines.

1.5 Acceptable Use

You agree not to use the Service for any unlawful purpose, to misrepresent amounts owed, or to attempt to collect payments from individuals without their proper authorisation.

1.6 Limitation of Liability

The Service is provided "as is." To the extent permitted by law, DigitalHaalKhata is not liable for indirect or consequential losses arising from use of the Service, including errors in data you have entered yourself.

2. Privacy Policy

We collect the information necessary to operate the Service, including your account details and the business data (customers, vendors, staff, transactions) you choose to store.

2.1 What We Collect

• Account information: your name, shop name, mobile number, and email address.
• Business data you enter: customer/vendor records, transactions, staff and payroll information, and uploaded documents or photos.
• Basic technical information such as browser type and access logs, for security and troubleshooting.

2.2 How We Use It

• To operate and improve the Service.
• To contact you about your account, billing, or support requests.
• To process payments, where applicable, via our payment partner.

2.3 Sharing

We do not sell your data. Information is shared only with service providers necessary to run the platform (such as hosting and payment processing partners), and only to the extent required for them to perform their function.

2.4 Data Security

We take reasonable technical measures to protect your data, including restricting access to authorised users of your account. No online service can guarantee absolute security.

2.5 Your Choices

You may request a copy of your data or ask us to delete your account and associated data, subject to any records we are required to retain by law.

3. Refund & Cancellation Policy

• Free trial: You may cancel at any time during the free trial period at no charge.
• Monthly subscriptions: You may cancel future billing at any time from your account or by contacting support; cancellation takes effect at the end of the current billing cycle.
• Refunds: Fees already charged for the current billing period are generally non-refundable, except where required by law or at our discretion in cases of a verified service issue.
• Automated collection (Autopay/eNACH) disputes: Any dispute regarding a specific debit collected on behalf of a shop owner should be raised with our payment partner's grievance process, details of which will be shared once this feature is live.
